Position Title ADMINISTRATIVE COORDINATOR/CHARTER SCHOOLS BOARD APPOINTMENTS
Position Summary The Administrative Coordinator for Charter School Board Appointments is responsible for reviewing and managing administrative support to the Internal Administration Unit for preparing, supporting and reviewing technical aspects of Board of Trustee resolutions for the Charter Accountability Unit along with the Board Governance Unit. This position provides consistency, guidance and support to all units within Charter Schools regarding business processes and will oversee the facility needs of the Center office.
Required Qualifications Bachelor’s degree or equivalent experience that equates to four years.
Three years of administrative experience of a qualifying nature.
Experience with word processing and spreadsheet applications
Supervisory experience.
Ability to act with a high degree of independence in preparing and arranging meetings with outside contacts.
Demonstrated ability to carry out administrative responsibilities independently.
Knowledge of office practices, processes and procedures.
Demonstrated attention to detail based on past experience.
Demonstrated positive interpersonal skills.
Demonstrated ability to communicate effectively and project a positive attitude.
Demonstrated organizational, interpersonal and problem solving skills.
Working knowledge of computer applications.
Demonstrated ability to maintain confidentiality.
Ability to perform the essential functions of the job, with or without accommodation.
Preferred Qualifications Knowledge of/experience with Charter Public Schools and the role of an Authorizer.
Experience with SAP.
Duties & Responsibilities Supports the Center for Charter Schools processes associated with Board of Trustees resolutions, including but not limited to, issuing, reviewing, conducting follow-up, processing and maintaining board member applications, oaths of office, annual conflict of interest disclosure.
Prepares and processes materials for CMU Board of Trustees’ meetings, including but not limited to, entering and maintain data for the charter school board member positions including, but not limited to, board member contact information, board member roles (i.e. president), and board member appointment information.
Acts as the supervisor for staff/students and delegates assignments as needed. Processes criminal background checks and maintains confidentiality.
Supports the implementation of new data systems and reporting.
Develops and prepares correspondence as needed.
Oversees, updates and monitors the Center’s business processes through Epicenter.
Provides oversight of the Center’s offices and equipment.
Serves as the main point of contact for facility related issues.
Maintains positive working relationships with various CMU administrative departments.
Oversees processing of invoices.
Records all internal purchase requests in log, assigns cost center and G/L account information and routes for necessary approvals of all expenditures per process.
Serves as the PNC Coordinator, coordinating all necessary backup materials as required for designated office procurement-use credit cards.
Re-allocates cost center and G/L accounts in relation to the credit card month-end schedule for all expenses against each of The Center’s procurement business credit cards.
Assures that required documents are uploaded in VISA Spend Clarity for the CMU payroll/travel department prior to the due date on all business credit cards assigned to staff at The Center. Communicates procedures to cardholders and/or staff utilizing the procurement cards.
Uses SAP regularly for accounting activities. Reviews analysis spreadsheets for copiers, phones, credit cards and legal fees.
Reviews monthly reconciliation of accounts.
Prepares/processes journal entries.
Drafts and reviews internal administrative business processes.
Oversees semi-monthly (SM) and bi-weekly (BW) time reporting.
Oversees processing of staff reimbursement vouchers and business card reimbursement voucher forms.
Assists with the monthly flow process of state aid between the 15th and 20th of each month. Maintains credibility for access where CMU banking websites are concerned (PNC, state aid). Reviews financial services records.
Communicates with custodial services supervisor regarding concerns, special requests, etc., and/or with other building-related service providers as required for The Center’s area in the College of Education and Human Services (EHS) building.
Processes facilities management and movers work requests as necessary.
Assists with maintenance of off-site storage inventory and disposal of records per the records retention schedule.
Responsible for routing Charter School policies for annual review.
Performs other duties as assigned.
