Position Title ADMINISTRATIVE SECRETARY/PT
Position Summary This position will serve as the primary point of contact for inbound calls and visitors to the University’s Counseling Center. Additionally, this position is responsible for providing direct administrative support to the Counseling Center staff to include but not limited to scheduling client appointments, managing counselor calendars, and the creation and maintenance of required reports, files, correspondence. This position is also responsible for creating and maintaining a calm, friendly, inviting environment for all who seek assistance from the Counseling Center.
Required Qualifications High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications Experience in a counseling or health center environment
Experience with an electronic medical record.
Experience working in a highly confidential work environment.
Duties & Responsibilities Responsible for signing in/out visitors to the Counseling Center who are there to conduct business, perform repairs, etc.
Opens and closes office, making sure all client records are secures
Works cooperatively with the Executive Secretary to assure smooth daily operations of the Counseling Center.
Monitors incoming phone calls and screens calls for emergency/urgent situations.
Seeks consultation for phone calls/walk-ins as needed.
Works independently to manage the increasingly complex client flow of scheduling appointments for 10-12 counselors including interns, from the first point of contact to the end of services (e.g., initial screening and triage of client concerns, scheduling appointments, inviting a student in crisis or who is visibly upset to meet with a counselor).
Responsible for client appointment reminders.
Communicates tele-mental health procedures to clients who schedule same day appointments.
Downloads and manages client information in electronic medical record
Monitors incoming faxes.
Provides referral information to students and others as needed.
Works cooperatively with the executive secretary in ordering supplies, taking meeting minutes, and entering exception time for payroll.
Assists the executive director and other counselors as needed.
Monitors Counseling Center email; responds to student requests for appointment scheduling, outreach events, and other inquiries as appropriate.
Contacts students who have requested services and assures that every request is complete.
Uses SAP and Microsoft Office to create graphics.
Coordinates and oversees concerns related to technology/multi-media for faculty and staff concerning HIPAA compliant computers.
Reconciles CMU credit card monthly.
Responsible for updating training manuals and Counseling Center procedures in conjunction with the executive director.
