Position Title EXECUTIVE OFFICE SPECIALIST
Position Summary This position is responsible for administering the Facilities Management student employment program, including working with the department supervisor to define student employment needs. This position administers various support programs to include contractual requirements such as the uniform and safety shoe program, medical examinations, and functional testing and certifications. This position also oversees the Facilities Management Service Center which includes operating the computerized facilities and infrastructure maintenance management system and maintains the department website.
Required Qualifications High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Spreadsheet and/or database experience.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position.
Preferred Qualifications Knowledge of specific software programs to include mainframe/systems skills, Excel, Access, SAP, and TimeClock Plus.
Duties & Responsibilities Oversees the Facilities Management Student Employment Program in coordination with the Student Employment Office which includes working with department supervisors and directors to define student employment requirements, completing required forms and transactions, developing and implementing departmental procedures and protocols, and maintaining awareness of current and future student staffing requirements.
Coordinates Facilities Management employee support programs including but not limited to, maintaining bargaining unit contract requirements for employee uniform and safety shoe programs, medical examinations, and functional testing/certifications.
Provides administrative support for the Facilities Management departmental web pages.
Oversees the daily functions of the Facilities Management Service Center including but not limited to:
Provides customer service and communicates with customers at all levels.
Operates the computerized facilities and infrastructure maintenance management system.
Conducts daily work order processing, typing, classifying, and distributing costs and closing out work orders.
Handles Service Center complaints, customer relation issues, and follows up on work requests and complaints as needed.
Files and records work orders, corrects errors, and runs reports.
Performs special projects as assigned including researching, collecting, and compiling data.
Troubleshoots issues with the work order system including daily maintenance and monitoring recurring work orders.
Assists with data entry and ensures adherence to protocols and procedures as they relate to the Facilities Management Service Center.
Communicates with directors, supervisors, skilled trades personnel, contractors, and staff via face-to-face, telephone, two-way radio, and email on a regular basis.
Communicates with the campus community for scheduled work, building hours, and events.
Completes cross-training with other Facilities Management department Office Professionals as needed.
Orders office supplies for multiple areas within Facilities Management as needed.
Performs other duties as assigned.
Essential Functions:
This position is critical to dispatching employees and recording work in the Facilities Management maintenance system. This position is classified as an essential employee. Essential employees are required to attend work during weather events such as snowstorms, rainstorms, extreme cold, floods, and any other weather event that may cause a work stoppage or delay to the university. Other events such as economic, political unrest, local, state, or federal emergency will be treated the same as a weather event and the employee must report to work. Reporting times may be outside regularly posted hours. Check with your supervisor if there are questions on how to handle specific situations.
