ADMINISTRATIVE ASSISTANT
Job Description
 
This position will be responsible for managing the day-to-day activities of the office to ensure the office operates smoothly and efficiently. The Administrative Assistant will oversee basic office tasks, greet, and direct visitors, and streamline administrative duties.
 
 
Specific Duties:
 
General Office Duties

  • Ordering Supplies
  • Recycling
  • Cleaning
  • Filing
  • Provide support to all Chamber special events including but not limited to selling tickets, assisting chamber staff in execution, and any necessary team function to ensure the success of events.
  • Prepare packets for Executive Committee & Board of Directors
  • Plans Board Lunches
  • Assists with Website
  • Assists with preregistration for all events
  • Occasionally assist with events
  • Assist with CVB events including orientation
  • Help with visitor information mailing
  • Serve as a visitor information expert
 
Customer Service
  • Primary for Answering Phones for both Chamber and CVB
  • Servicing Walk-In Traffic for both Chamber and CVB
  • Provide Referrals
  • Keep Brochures Up to Date, keep the lobby clean
 
Bookkeeping
  • Logs Receivables
  • Deposits – Check, Chamber Master, and credit card
  • Payables- Codes & Prepares for President and the Board of Directors
  • Assists with Invoicing- Monthly
  • Assist with bookkeeping related to the Mt. Pleasant Area Chamber of Commerce Foundation
  • Responsible for payroll, managing PTO, and other onboard procedures
  • Prepares Month End Reports for President and the Board of Directors
  • Manages all Updates in Chamber Master
  • Assists with annual audit
  • Keep track of all bank accounts with Mercantile
  • Print bank statements every month, provide a copy to accountant
  • Reconcile three accounts
  • Run all reports per requested for Board of Directors
  • Other tasks as assigned

  • Comfort with multi-tasking in a deadline-driven environment
  • Excellent time management skills
  • Excellent communication and editorial skills
  • Proficient in the following: Microsoft Word, Excel, and QuickBooks
  • Real-time training in the membership database, Chamber Master, will be provided
 
 
Preferred Requirements:
 
  • High school diploma or equivalent
  • Proven administrative experience
  • Must be available to work some evenings and weekends as needed
  • Passion for service to the community and its economic growth
  • Valid driver’s license
